Monthly or twice-monthly "Senior Staff" meetings shall be organized, established and conducted. For the purpose of this memorandum, Senior Staff shall consist of the Program Directors for the Agency's major components.
The purpose of the regular semi-monthly meetings shall be to review, discuss and assess the budget, status, progress, accomplishments, problems, weaknesses, plans and other pertinent facets of the various programs. Each Senior Staff member will be expected to make a monthly report at the meeting on his/her program. Problem areas will be discussed with a view toward arriving at a collective best judgment on potential solutions. The Executive Director will also report to the Senior Staff on the overall view from his perspective, new policies from the Board or grantor agencies, new programs, and agency efforts to secure such additions.
The Executive Director will confer with the Senior Staff and arrange an appropriate regular date for the monthly meetings. Attendance is mandatory. Minutes may be taken and circulated to the Senior Staff for a permanent reference.
Also, Senior Staff are directed to conduct staff meetings at least monthly with supervisors and/or coordinating staff in their respective components for the purposes of filtering Senior Staff actions, suggestions and information back to other program staff.
Staff meetings may be on as formal or informal a basis as the moderator of the meetings deems appropriate, but they must be regular and purposeful. Minutes or notes should be taken on these project-level staff meetings and forwarded to the Executive Director for his review and permanent file.
At the discretion of the Executive Director, staff meetings may be requested more often than monthly. This memorandum merely sets a minimum standard for monthly or twice-monthly Senior Staff and component staff meetings.
